How to add and manage comments in AccessPoint

Hi everyone,

I have a daily report which both figures and some comments. And I want to show the daily report to some other users in AccessPoint and they can write

some comments, and they also can export this daily report with charts and comments together to EXCEL or print it.

Now what I did is using input box and text object like below but it can’t print all comments at the same time:

And I also have some charts in the left of these comments.

So about the comments management, there are 4 things I want to solve:

  1. 1.how different people can contribute to the daily report by keying comments?

  1. 2.how I (the people in charge of the daily report) can key additional comments?

  1. 3.how to export or print all the sheet data(charts and comments) to EXCEL or something else?

  1. 4.can I save the everyday comments to variables or a qvd or a excel in AccessPoint and can I call the history comments to show in AccessPoint?

The attached file is an example for this problem. Could you please help to find a way about this?

I think you better use an AccessPoint collaboration feature called "Server Annotations" for this. The interface is very flexible (almost like a forum) but then you'll have to devise another method to extract annotations and merge them into your data exports. Have a look into this.

Sorry for the reply late, the "Server Annotations" function that what you said is the "Note" function?

And could you have some methods to extract the comments? I think that is important.

"Note" function: correct. That's what it says in the AccessPoint Object menu. QMC calls this feature "Server Annotations".

Since comments are shared objects, they are stored per document in the .shared file.

To extract comments/notes, you're in for a bit of manual work. For example, the following method allows you to selectively export notes from a single .shared file:

  • Download PowerTools 1.1 for QlikView and extract the Shared File Viewer-tool somewhere on your QlikView server. If your Document Root is accessible from outside, you can also install the tool on your PC or laptop.
  • Launch the Shared File Viewer, select File->Open and navigate to the Document Root. Select the .shared file belonging to the document for which you want to export comments/notes.
  • The object list will be filled with entries for all shared objects. Clear the selection boxes and select all entries with Type=AnnotationTopic. If you want to export MetaData (access restrictions etc.) as well, select the MetaData lines with the same IDs.
  • Select File->Export to XML->Selected... and enter a name for the XML export file. Click OK and there you have it.
  • To have look at the contents, open the xml file in IE for example.

I haven't thought about automation methods yet, that's up to you for now.

You can try combining input fields & dynamic update.

Input field:

The user may enter a comment which is only visual to him and save it to a bookmark, which can then be passed to someone else. Since Input fields are normal fields, I believe export to Excel shouldn't be an issue.

Dynamic update:
People in charge of the daily report can manipulate the loaded dataset, by adding new comments/new values in a field. This change will affect everyone using the current loaded application on access point. I believe export to Excel should work fine as well in this case. The negative aspect is, that the dynamic update is ONLY applied to the data loaded into RAM, which means once the application reloads/restarts those change will be gone.
